DETAILS

  1. Church organizations do not incur fees for the facilities.
  2. All fees must be paid in full no later than one week before the event. The music director or organist, minister, wedding director and custodial fees are to be paid directly to the individuals. Other fees shall be paid with a check made payable to Horne Memorial United Methodist Church. (In the event of cancellation, all fees shall be returned.)
  3. Facility usage fees are not required for PRE-APPROVED and weekly meetings such as: Scouts, AA and also scheduled Pinewood Derby, Cub Ceremonies in Sanctuary, Blue & Gold Banquet and yearly AP testing. These groups do not have use of office equipment. For approval contact the Policy committee: Chuck Caulder (550-2734), Doug McCormac (553-6254), or Roberta Byram (553-6464 X26).
  4. All non-church related events scheduled by church member requiring Sanctuary, Fellowship Hall, or kitchen use must be reserved with the church secretary except for weddings which will be planned and scheduled through the Wedding Director. The appropriate custodial fees must be paid in advance unless member wishes to do the clean – up after their event. If choosing to clean up after event and not secure custodian; the custodian deposit will be collected and returned after clean-up. When using the Fellowship Hall for any event; if the chairs and tables are moved, please return them to the position of the original set-up. Diagram attached.
  5. When using facilities for weddings, rehearsals, and/or receptions, use of restrooms and dressing rooms are included.
  6. Classrooms designated as dressing rooms are as follows: Men - Elbert Jones Class - Sanctuary level Women - Multipurpose Room - Basement below Sanctuary
  7. Restroom for bride and her party are located in the basement under the stairway near the kitchen and designated dressing area is the large classroom next to the kitchen. Men’s dressing room is in the Elbert Jones classroom and restroom near the Fellowship Hall.

Procedure for Use of Buildings

The primary purpose of the Church building, House, and Grounds is to be places of worship by Horne Memorial UMC. It is impressed upon the membership, as well as any non-member group, that use of any of the Facilities shall be with the proper conduct and respect.

  1. Call church secretary to request space and date.
  2. Pick up a policy and checklist from the church office during office hours (8:30 am. -- 12 pm.)
  3. When policy picked up and form signed; space will be secured on the church calendar.
  4. Only one key shall be issued to non-Horne church groups using the Facility.
  5. Keys are not to be copied.
  6. When rooms for church or non-church activities are scheduled, please furnish the following information:
    Name of Group Contact Person responsible
    Date of meeting
    Beginning and anticipated ending time
    Approximate number of attendees Any special room requirements
    If a key to the building isneeded.
  7. If space is not returned to its original set-up, contact person will be called and asked to come and clean up. (See Key Policy for securing keys to the buildings.)

Check List

  1. If chairs or tables are moved, please return them to the original room set-up per diagram.
  2. When finished with tables, please clean them before returning them.
  3. Return VCRs to original location (one on each floor).
  4. Floors should be swept and damp mopped. Cleaning tools are in the closets on each floor.
  5. If your event produces trash (papers, drink cups, food, etc.) please use trash cans or remove if trash cans are full.
  6. Make sure all windows and doors are locked.
  7. Make sure all lights are off (including in the restrooms).
  8. No open food or food containers will be left in rooms.
  9. No items will be installed in any of the spaces without permission of the Board of Trustees.
  10. Any storage cabinet or furniture being purchased for the use of the organization should be approved by Trustees before purchase.

Please confine your activities to the spaces reserved for your group whether other spaces are being utilized or not.

Damages

Your group is responsible for any damage done to Horne Church and the contents that may occur while you are using them. In the event of damage while using Horne Church, please report the damage immediately. If something is found in non-working order, please report that immediately.

Basement Kitchen

If this space is used; it will be cleaned up before leaving the building. All dishes will be washed, dried, and put back in the location they were taken from. All counters washed and floor swept. All trash in trash can or removed from the building. No open food containers will be left in the refrigerator unless it is labeled with a removal date and a contact person name and phone number.

Keys Policy for Usage of Building

Anyone using any space in the building will call the church secretary to secure the date requested to reserve the space, a key and policy for building usage.

A form will be filled out that includes: who is responsible to pick up key and when it is expected to be returned. Keys will be numbered. Failure to return a key will result in a fee for use of area in future.

The church office hours are 8:30 am. to 12 noon Monday-Friday. Reservation will be made on church calendar when key and policy is picked up.

Person signing for key and policy will be responsible to unlock, turn off all lights, and lock.

The church policy for use of space will be adhered to and returned with the key.

Any space used in the church building or property will be returned to the set-up in which it was found. Diagrams will accompany policy for your convenience.

If trash is accumulated during use of space, users will put in trash bag and place in trashcans. If trashcans are full, users will remove trash from church property.

The key to the Church building which will be issued is the responsibility of the person signing for it. Please pick it up no more than two days in advance of the date your group will be using the building. You are asked to return the key no more than 48 hours following use except when the use falls on a Friday, in which case a Monday return is acceptable.

Wedding Policy -- Horne Wedding Director WEDDING COORDINATOR RESPONSIBILITIES

  1. Church secretary refers all calls to Wedding Coordinator. Wedding Coordinator may either accept the responsibility for the wedding or call a committee member. Return call to prospective bride within 24 hours to get and give basic information.
  2. Check with church secretary and senior pastor concerning availability of church and minister. Put on the church calendar after the deposit is collected.
  3. Arrange meeting with couple to go over wedding policy, fee schedule and tour the church. A deposit of $100 is collected. Wedding Arrangement Worksheet is given to couple.
  4. If Fellowship hall is to be used, coordinate scheduling between custodian, praise team leader and caterer regarding set up, cleaning and tear down.
  5. Open and close the church when members of the wedding party, caterer and/or florist need to be in the building. The coordinator has the responsibility of making sure the building is left as found. (Lights off, doors locked).
  6. Dressing rooms are designated as follows: Men – Elbert Jones Class - Sanctuary Level; Women – Multipurpose Room – Basement below Sanctuary. Prepare the room for bride to dress by covering the glass door. Provide ice and water for both dressing rooms.
  7. Restroom for bride and her party is located in the basement under the stairway near the Multipurpose room. Restroom for the groom and his party is located on the Sanctuary level near the Fellowship Hall.
  8. Be present at the rehearsal and wedding ceremony.
  9. Put white paraments on altar and lectern. Remove hymn numbers from board. After the wedding, replace with the seasonal color and hymn numbers. A liturgical color chart, Sunday bulletin and hymn numbers are stored in the buffet in the Ladies Parlor. Paraments are stored in the communion section of the Library.
  10. If flowers are to stay in Sanctuary for the Sunday service, inform secretary of wording for the bulletin.
  11. Copy of marriage license to secretary if Horne pastor performs the wedding.
  12. Neither the Wedding Coordinator nor church secretary is expected to prepare or photocopy wedding bulletins. Either may agree to do so for an additional fee.
  13. The fee for the Wedding Coordinator is $100 for above services.
